Electrical measurement report – What should it include and when is it required in a company?
Carrying out electrical measurements involves much more than checking a few parameters with a measuring instrument. The results of the tests should be properly documented. This is the purpose of an electrical measurement report, which provides a record of the scope of the work performed and the results obtained.
Documentation is particularly important for companies. Production halls, warehouses, office buildings and commercial facilities often have extensive electrical installations supplying machinery, technological equipment and systems responsible for maintaining business continuity.
When is an electrical measurement report required? What should it contain, and why should it not be treated merely as a formality?
What is an electrical measurement report?
What is an electrical measurement report?
An electrical measurement report is a document containing information about inspections and tests performed on an electrical installation and their results. Depending on the purpose and scope of the work, it may cover the entire installation, a specific facility, or selected circuits and equipment.
The report itself, however, is only the final stage of a much broader process. What matters most is that visual inspections, tests and measurements are carried out correctly and that the results are properly interpreted.
The documentation makes it possible to determine which part of the installation was inspected, what results were obtained and whether any irregularities requiring further action were identified.
In the case of periodic building inspections in Poland, the Construction Law requires an inspection report to be prepared and specifies the minimum information it should contain.

When is an electrical measurement report required in a company?
One of the most important situations is a periodic inspection of an electrical installation. Under Polish Construction Law, an inspection covering, among other things, electrical and lightning protection installations must be carried out at least once every five years.
A report may also be required when accepting a newly installed electrical system or after significant modernization work. In this case, it documents the results of tests carried out before the installation is put into normal operation.
In business facilities, electrical measurements are also carried out after extending an installation, adding new circuits, rebuilding a distribution board or making changes related to connecting new equipment.
Measurement documentation may also be important during technical inspections, audits, project acceptance procedures or investigations into the causes of electrical failures.
An electrical inspection report should therefore not be viewed simply as a document that a company needs “in case of an inspection”. Properly maintained documentation can also provide valuable information about how an electrical installation changes over years of operation.
What should an electrical measurement report include?
What should an electrical measurement report include?
The scope of the document depends on the type of tests performed and the purpose of the inspection. Acceptance documentation for a new installation will differ from a report prepared as part of a periodic inspection of an existing facility.
In practice, the measurement documentation should make it possible to clearly determine what was tested, where and when the tests were carried out, who performed them, and what results were obtained.
For periodic inspections covered by Polish Construction Law, the report should include, among other things, the date of the inspection, details and qualifications of the person carrying it out, details of the owner or building manager, identification of the facility, the scope of the inspection, findings, identified irregularities and recommendations.
The report should also take into account any recommendations from previous inspections that have not yet been implemented. If irregularities are identified, the recommendations should indicate how they should be corrected and the timeframe for the necessary work.
The relevant measurement results for the circuits or components being inspected should also form part of the documentation.
What results may be included in an electrical measurement report?
What results may be included in an electrical measurement report?
Not every report will contain exactly the same set of measurements. The scope should correspond to the type of installation, the purpose of the test and the protective measures used.
Depending on the situation, testing may include insulation resistance measurements, continuity testing of protective conductors, earth fault loop impedance measurements, earth resistance measurements and testing of residual current devices (RCDs).
The numerical value recorded in the report is not the only thing that matters. Each result must be assessed against the requirements applicable to the specific installation.
A professional report should therefore not be merely a collection of figures taken from a measuring instrument. It should make it possible to assess the condition of the tested part of the electrical installation.

The completion of a new electrical installation or modernization project is a particularly important stage.
Before the installation is put into service, it should be verified that it has been correctly installed and that the protective measures operate as intended. The results of these tests are then documented.
This is particularly important in industrial facilities. A fault in an installation supplying a production line, distribution board or high-power device may only become apparent under load and could result in failure or production downtime.
Acceptance testing should therefore be treated as an integral part of the project rather than as a formality carried out at the very end.

Electrical measurement report and the 5-year electrical inspection
One of the key obligations relating to buildings in use is the periodic technical inspection.
Polish Construction Law provides for an inspection to be carried out at least once every five years, including an examination of the electrical and lightning protection installations. The scope includes checking, among other things, connections, equipment, protective devices and electric shock protection measures, as well as the insulation resistance of cables and the earthing of installations and equipment.
After the inspection, documentation is prepared to confirm that the inspection has been carried out and to record its findings.
Regular measurements should therefore be viewed not only as a statutory obligation in applicable cases, but also as an opportunity to identify deterioration or faults before they result in a more serious failure.
Why is an electrical measurement report particularly important in a production hall or warehouse?
Why is an electrical measurement report particularly important in a production hall or warehouse?
In a single-family home, an electrical installation may operate under similar conditions for many years. In a company, the situation can be very different.
New machinery is added, production lines change, additional circuits are installed, distribution boards are modified and power demand increases as the business develops.
Documentation that makes it possible to review the history of electrical measurements can therefore be extremely useful for those responsible for maintaining the facility’s infrastructure.
If subsequent measurements show that certain parameters are deteriorating, the company can plan diagnostics or modernization before the problem leads to a failure.
In B2B facilities, electrical measurements therefore serve more than a formal purpose. They can also support the reliability and maintenance of the electrical installation.
Does having an electrical measurement report mean that the installation is safe?
Does having an electrical measurement report mean that the installation is safe?
No. This is one of the most important points to understand.
Simply having a document does not guarantee safety. What matters is how the measurements were carried out, which parts of the installation were tested and how the results were interpreted.
The report should be the outcome of actual testing rather than an end in itself.
If irregularities are identified during an inspection, the documentation should clearly describe the problem and, where required, specify the recommended corrective measures.
For a company, knowing whether the installation can operate safely and whether further action is required is far more valuable than simply having another document on file.
Who can carry out electrical measurements and sign the report?
This depends on the type of work performed and the legal basis for the particular inspection.
In Poland, the Construction Law sets requirements for persons authorized to carry out technical inspections of electrical and lightning protection installations. Before commissioning a periodic inspection, a company should therefore verify that the contractor holds qualifications appropriate to the scope of the inspection.
This is particularly important for businesses, where the report becomes part of the facility’s technical documentation.
What should you do if electrical measurements reveal irregularities?
What should you do if electrical measurements reveal irregularities?
A negative result should not end with the report simply being filed away.
The first step is to determine the cause of the problem. It may be a damaged cable, an incorrect connection, worn electrical equipment, an earthing problem or a change in installation parameters resulting from many years of operation.
The required repair or modernization work can then be determined, followed by appropriate testing after the work has been completed.
This is particularly important in industrial facilities, where a relatively minor issue in a critical circuit can eventually lead to a much more serious failure.
It is also worth reviewing the most common mistakes in electrical installations and their consequences when planning corrective or modernization work.

An electrical measurement report is an important part of an electrical installation’s technical documentation. It records the tests performed, their scope and results, as well as any irregularities identified.
From a business perspective, however, its importance goes beyond documentation alone. Regular testing and properly maintained records help companies monitor the condition of their electrical installations, plan modernization work and reduce the risk of failures and unplanned downtime.
Trzecia Faza provides electrical installation measurements and inspections for companies, production halls, warehouses and other commercial and industrial facilities. If you require a periodic inspection, measurements following modernization work or testing before commissioning an installation, we can carry out the appropriate scope of tests and prepare the required measurement documentation.
